Job Description

We are seeking a highly motivated, organized, and customer-focused Tour Operator Assistant to join our dynamic team at the Musina Hotel & Conference Centre. This pivotal role supports our guests in discovering the wonders of Limpopo, from local cultural tours and historical sites to thrilling safari adventures and cross-border excursions. As a Tour Operator Assistant, you will be the bridge between our guests’ travel aspirations and their unforgettable experiences. You will be responsible for assisting in the planning, booking, and execution of various tours and activities, ensuring seamless coordination and exceptional service from inquiry to completion. This role requires meticulous attention to detail, strong communication skills, and a genuine passion for showcasing the best of Musina and the surrounding region. You will work closely with our front desk team, local tour guides, transport providers, and activity operators to craft personalized itineraries, manage bookings, and handle all administrative duties related to tour operations. Key Responsibilities

  • Assist in planning and coordinating various local and regional tours, safaris, and activities for hotel guests.
  • Manage bookings, reservations, and confirmations with tour operators, transport providers, and activity vendors.
  • Handle guest inquiries about tours, provide detailed information, and offer personalized recommendations.
  • Prepare tour itineraries, confirm logistics, and ensure all necessary documentation is in order.
  • Process payments and maintain accurate records of all tour-related transactions.
  • Liaise with hotel staff, particularly the front desk, to ensure smooth guest transitions and information flow.
  • Collect guest feedback and assist in resolving any issues or complaints related to tour services.
  • Maintain up-to-date knowledge of local attractions, events, and travel regulations in the Limpopo region.

Required Skills

  • Exceptional customer service and interpersonal communication skills.
  • Strong organizational abilities and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work independently and as part of a team.
  • Problem-solving skills and ability to handle multiple tasks efficiently.
  • Fluency in English (written and verbal); proficiency in additional local languages is a plus.
  • Valid driver's license.

Preferred Qualifications

  • Diploma or degree in Tourism, Hospitality Management, or a related field.
  • Previous experience in a travel agency, tour operator, or hotel front office role.
  • Knowledge of reservation software or CRM systems.
