Job Description

We are seeking an experienced and highly organized Senior Administrative Assistant to join our dedicated team at the Renosterberg Local Municipality in Hopetown, Northern Cape. This pivotal role involves providing comprehensive administrative support to senior management and various departments, ensuring the smooth and efficient operation of municipal functions. The ideal candidate will be a proactive, detail-oriented, and reliable individual with a proven track record in a fast-paced office environment, preferably within the public sector. You will be instrumental in managing schedules, preparing critical documents, coordinating meetings, and maintaining robust administrative systems. Key Responsibilities

  • Provide high-level administrative support to senior management, including scheduling appointments, managing calendars, and coordinating travel arrangements.
  • Prepare, edit, and proofread official documents, reports, presentations, and correspondence, ensuring accuracy and adherence to municipal standards.
  • Organize and coordinate meetings, workshops, and events, including preparing agendas, taking minutes, distributing materials, and following up on action items.
  • Manage and maintain efficient filing systems, both physical and electronic, ensuring proper record-keeping and easy retrieval of information.
  • Handle incoming and outgoing communications, including phone calls, emails, and mail, directing inquiries to appropriate departments or individuals.
  • Assist with budget monitoring, procurement processes, and expense reporting for assigned departments.
  • Oversee office supplies inventory and place orders as needed, ensuring the office is well-stocked and operational.
  • Liaise effectively with internal departments, external stakeholders, and the public with professionalism and courtesy.
  • Undertake special projects and research tasks as assigned by senior management, contributing to strategic initiatives.

Required Skills

  • Minimum of 3-5 years of experience in an administrative role, preferably at a senior level or within the public sector.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills in English, with the ability to draft professional correspondence and reports.
  • Strong organizational and time management abilities, with a proven capacity to prioritize tasks and meet deadlines.
  • High level of discretion and ability to handle confidential information with integrity.
  • Exceptional interpersonal skills and a professional demeanor when interacting with diverse stakeholders.
  • Demonstrated ability to work independently with minimal supervision and as part of a team.

Preferred Qualifications

  • A relevant tertiary qualification (e.g., Diploma or Degree in Office Administration, Public Administration, or Business Management).
