Key Responsibilities
- Provide high-level administrative support to senior management, including managing calendars, scheduling appointments, and coordinating meetings.
- Handle incoming and outgoing communications, including drafting correspondence, screening calls, and managing emails with discretion.
- Prepare reports, presentations, and other documents, ensuring accuracy and professional presentation.
- Organize and maintain physical and electronic filing systems, ensuring confidentiality and easy retrieval of information.
- Coordinate travel arrangements, including flights, accommodation, and itineraries.
- Manage office supplies inventory and place orders as needed, ensuring the executive office is well-stocked.
- Assist in the planning and execution of internal and external events or special projects.
- Facilitate communication between the executive and various departments, clients, and external partners.
- Process expense reports and manage petty cash for the executive office.
- Ensure compliance with all company policies and procedures, particularly those related to data protection and confidentiality.
Required Skills
- Proven experience as a Secretary or Executive Assistant to senior management (minimum 4 years).
- Exceptional written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and planning skills with excellent attention to detail.
- Ability to maintain strict confidentiality and exercise discretion.
- Proactive attitude with the ability to anticipate needs and work independently.
- Excellent interpersonal skills and a professional demeanor.
Preferred Qualifications
