You will handle a diverse range of tasks, from managing school records and correspondence to assisting with pupil welfare and facilitating effective communication across the school community. Key Responsibilities

  • Manage the school's reception area, greeting visitors, parents, and pupils warmly and professionally.
  • Handle all incoming and outgoing communications, including phone calls, emails, and post, directing enquiries appropriately.
  • Maintain accurate and confidential pupil records, attendance registers, and staff files in compliance with GDPR and school policies.
  • Process school admissions, leavers, and transfers, ensuring all necessary documentation is completed promptly.
  • Administer school finances, including processing invoices, managing petty cash, and reconciling school trip payments, under the guidance of the Business Manager.
  • Support the Headteacher and teaching staff with administrative tasks, including preparing reports, newsletters, and presentation materials.
  • Coordinate school events, meetings, and parent evenings, including room bookings, invitations, and refreshments.
  • Manage school supplies, ordering new stock and maintaining inventory levels.
  • Assist with pupil welfare, including administering basic first aid (after training, if required), contacting parents regarding illness, and maintaining medical records.
  • Liaise with external agencies, such as the local authority and health services, as required.
  • Ensure the school's website and communication platforms are updated with relevant information.
  • Uphold safeguarding procedures and promote the welfare of all pupils.

Required Skills

  • Proven experience in an administrative or secretarial role, preferably within a school setting.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organisational and time management abilities, with attention to detail.
  • Ability to work independently and as part of a team.
  • Discretion and ability to handle confidential information.
  • A friendly, approachable, and professional demeanor.
  • Commitment to safeguarding and promoting the welfare of children.

Preferred Qualifications

  • NVQ Level 2 or 3 in Business Administration or equivalent qualification.
  • Experience with school management systems (e.g., SIMS).
  • First Aid at Work qualification.
  • Knowledge of GDPR regulations in an educational context.
