Key Responsibilities
- Greet and welcome patients and visitors in a warm and professional manner.
- Manage and direct all incoming phone calls, faxes, and emails, responding to inquiries or directing them to the appropriate department.
- Schedule and confirm patient appointments, managing the clinic's appointment calendar efficiently.
- Register new patients and update existing patient demographic and insurance information accurately.
- Collect co-payments, process billing, and manage financial transactions, issuing receipts as required.
- Maintain patient records, ensuring confidentiality and compliance with all privacy regulations (e.g., handling physical and electronic files).
- Prepare and organize patient charts, referral forms, and other necessary documentation.
- Ensure the waiting area is tidy, comfortable, and well-maintained.
- Liaise effectively with doctors, nurses, and other medical staff to ensure seamless patient flow and communication.
- Handle general administrative tasks such as filing, scanning, photocopying, and data entry.
- Assist with inventory management of office supplies and ordering when necessary.
- Address patient concerns and provide initial support, escalating complex issues to medical staff when appropriate.
Required Skills
- Excellent verbal and written communication skills in English and Kiswahili.
- Proven customer service and interpersonal skills with a patient-first approach.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
