Key Responsibilities
- Serve as the first point of contact for all incoming calls, greeting clients and visitors warmly and directing them to the appropriate person or department.
- Manage a busy multi-line switchboard efficiently, screening and transferring calls professionally.
- Welcome and register clients and visitors upon arrival, offering refreshments and ensuring a comfortable waiting experience.
- Coordinate and book meeting rooms, ensuring they are prepared and tidy before and after use.
- Handle all incoming and outgoing post, couriers, and deliveries with accuracy and timeliness.
- Provide general administrative support to various legal departments, including photocopying, scanning, filing, and data entry.
- Maintain the reception area and communal client spaces to a high standard of presentation and cleanliness.
- Assist with stationery ordering and stock management.
- Manage and update client databases and internal contact lists.
- Undertake ad-hoc duties as required to support the smooth operation of the office.
Required Skills
- Proven experience in a reception or administrative role, preferably within a professional services environment.
- Exceptional communication skills, both verbal and written.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
