Key Responsibilities
- Provide advanced calendar management, including scheduling appointments, meetings, and conferences, and ensuring executives are prepared with all necessary documents and information.
- Arrange complex travel itineraries, accommodation, and transportation, managing all logistics for domestic and international trips.
- Prepare, edit, and proofread correspondence, presentations, reports, and other documents with exceptional accuracy and attention to detail.
- Manage incoming communications, including phone calls and emails, screening and prioritizing them, and responding professionally on behalf of executives when appropriate.
- Organize and maintain both electronic and physical filing systems, ensuring all sensitive information is handled with strict confidentiality.
- Coordinate and prepare for board meetings, client meetings, and internal team sessions, including agenda creation, minute-taking, and follow-up on action items.
- Process expense reports, invoices, and other financial documentation in a timely and accurate manner.
- Act as a liaison between executives and internal departments, external clients, and stakeholders.
- Undertake ad-hoc projects and research tasks as required, demonstrating initiative and problem-solving abilities.
- Ensure the executive office operates smoothly, anticipating needs and proactively addressing potential issues.
