Bungoma Teachers Sacco Society Ltd (BUTS) is seeking a dedicated Part-Time Secretary – Office Assistant to join our administrative team for evening shifts. This crucial role involves providing essential administrative and clerical support to ensure the smooth and efficient operation of our office during extended hours. You will be the welcoming face and voice of BUTS for members and visitors arriving in the late afternoon and early evening, ensuring their queries are addressed professionally and efficiently.

Key Responsibilities
- Manage incoming and outgoing calls, directing inquiries appropriately and taking accurate messages.
- Greet and assist members, visitors, and clients in a professional and friendly manner.
- Perform general clerical duties, including photocopying, scanning, faxing, and filing documents.
- Maintain organized physical and electronic filing systems for easy retrieval of information.
- Assist with data entry, updating member records, and preparing reports as required.
- Schedule and coordinate appointments and meetings, including preparing meeting rooms.
- Handle office correspondence, including drafting letters, emails, and internal memos.
- Ensure the reception and office areas are tidy and presentable at all times.
- Support Sacco staff with various administrative tasks and special projects as needed.
- Maintain confidentiality of all Sacco-related and member information.
- Monitor and order office supplies to ensure adequate stock levels.
Required Skills
- Proven experience as a Secretary, Administrative Assistant, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities, with keen attention to detail.
- Ability to multitask and prioritize work effectively in a busy environment.
- Professional demeanor and strong interpersonal skills.
- High level of integrity and ability to handle confidential information.
- Ability to work independently and as part of a team.
Preferred Qualifications
- Diploma or Certificate in Business Administration, Secretarial Studies, or a related field.
