As an Office PA, you will be the first point of contact for many, playing a crucial role in shaping initial impressions for candidates and clients, and maintaining a smooth, efficient workflow for our team of dedicated consultants. Your duties will extend beyond traditional administrative support, encompassing everything from managing complex calendars and coordinating meetings to handling confidential information with utmost discretion and assisting with basic HR administration. We are looking for a proactive individual who thrives in a fast-paced environment, possesses exceptional communication skills, and has a meticulous eye for detail. Your ability to anticipate needs, manage multiple priorities, and execute tasks with precision will be vital to your success in this role. This involves preparing presentation materials, managing office supplies and vendor relationships, processing invoices, and maintaining an organised filing system, both physical and digital. Key Responsibilities

  • Manage and maintain executive calendars, scheduling meetings, appointments, and travel arrangements.
  • Act as the primary point of contact for internal and external stakeholders, handling correspondence and inquiries professionally.
  • Prepare and edit documents, presentations, and reports, ensuring accuracy and adherence to company standards.
  • Oversee office supply inventory, placing orders, and managing vendor relationships effectively.
  • Organise and maintain physical and electronic filing systems, ensuring efficient retrieval of information.
  • Assist with basic HR administrative tasks, including onboarding new employees and maintaining personnel records.
  • Process invoices, expense reports, and other financial documentation with strict confidentiality.
  • Coordinate and prepare for internal and external meetings, including setting up meeting rooms and distributing materials.
  • Ensure the general upkeep and professional appearance of the office environment.
  • Provide ad-hoc administrative support to consultants and senior management as required.

Required Skills

  • Minimum of 2 years of experience as an Office Assistant, Personal Assistant, or similar administrative role.
  • Exceptional organisational and time management skills, with the ability to prioritise tasks effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office software.
  • Strong written and verbal communication skills in English.
  • Demonstrated ability to maintain confidentiality and exercise discretion.
  • Proactive attitude with excellent problem-solving capabilities.
  • Ability to work independently and as part of a team in a fast-paced environment.

Preferred Qualifications

  • A relevant diploma or degree in Office Administration, Business Management, or a related field.
  • Experience working within a recruitment agency or professional services environment.
  • Familiarity with CRM software or applicant tracking systems (ATS).
  • Driver's license and own reliable transport.
