Job Description

We are seeking a highly organized, proactive, and detail-oriented Office Manager Assistant to join our vibrant team in Kapenguria, West Pokot County. This critical role supports the efficient daily operations of our branch office, with a primary focus on meticulous scheduling, comprehensive filing systems, and various essential administrative tasks. As the backbone of our administrative functions, you will ensure seamless workflow, maintain an organized office environment, and contribute significantly to our team’s productivity and client service excellence.

Key Responsibilities

  • Manage and maintain executive and team calendars, scheduling appointments, meetings, and conferences with precision and efficiency.
  • Organize and maintain both physical and digital filing systems, ensuring all documents are accurately categorized, indexed, and easily retrievable.
  • Prepare, proofread, and format various documents including reports, presentations, correspondence, and internal communications.
  • Handle incoming and outgoing communications, including emails, phone calls, and mail, directing queries to the appropriate departments or individuals.
  • Coordinate office supplies inventory, place orders, and ensure adequate stock levels are maintained.
  • Assist with onboarding new staff by preparing workstations, setting up necessary accounts, and providing initial administrative support.
  • Support the planning and execution of internal events, workshops, and team-building activities.
  • Process invoices, expense reports, and other financial documentation in coordination with the finance department.
  • Ensure the office environment is tidy, organized, and conducive to productivity and professionalism.
  • Liaise with external vendors and service providers for office maintenance and supplies.
  • Perform ad-hoc administrative duties as required to support the smooth operation of the branch.
