This pivotal role requires a self-starter who can effectively manage office resources, streamline procedures, and ensure a seamless workflow for our team. As the Office Manager, you will be the backbone of our Aba operations, providing essential support to various departments, from customer service to logistics, and ensuring that our facilities are always in optimal condition. You will be responsible for maintaining a productive and welcoming atmosphere, handling everything from supply management to staff coordination and ensuring compliance with company policies and local regulations. Key Responsibilities
- Oversee and manage the daily operations of the Aba office and terminal, ensuring smooth administrative functions.
- Manage office supplies inventory, place orders, and negotiate with vendors to ensure cost-effectiveness.
- Coordinate and schedule meetings, appointments, and travel arrangements for senior staff as required.
- Maintain a clean, organized, and professional office environment, including supervising cleaning staff and facility maintenance.
- Handle incoming and outgoing correspondence, including emails, calls, and packages, directing them to the appropriate personnel.
- Assist with basic HR administrative tasks, such as onboarding new employees, maintaining employee records, and managing attendance.
- Process invoices, expense reports, and petty cash, ensuring accurate record-keeping and adherence to budgetary guidelines.
- Implement and maintain efficient office policies and procedures to improve productivity and workflow.
- Act as the primary point of contact for internal and external queries, demonstrating excellent communication and problem-solving skills.
- Manage office equipment, ensuring proper functionality and arranging for timely repairs or replacements.
- Support various departments with administrative tasks, data entry, and report generation as needed.
- Ensure compliance with health and safety regulations within the office environment and uphold company standards.
Required Skills
- Proven experience as an Office Manager, Administrative Manager, or similar role (minimum 3 years).
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills with the ability to prioritize tasks effectively.
- Exceptional written and verbal communication skills.
- Demonstrated ability to manage budgets and office resources efficiently.
- Proactive problem-solver with a strong attention to detail and accuracy.
- Ability to work independently and collaboratively as part of a diverse team.
- High level of integrity and discretion in handling confidential information.
