Job Description
We are seeking a highly organized, proactive, and dedicated Office Assistant to join our dynamic team in Liwa Oasis. This pivotal role involves providing comprehensive administrative and clerical support to ensure the smooth and efficient operation of our municipal office. The successful candidate will be the backbone of daily operations, responsible for managing administrative tasks, maintaining records, coordinating communications, and assisting various departments. Key Responsibilities
- Manage and organize physical and digital filing systems, ensuring accurate record-keeping and easy retrieval of documents.
- Handle incoming and outgoing correspondence, including emails, letters, and faxes, ensuring timely distribution and follow-up.
- Schedule and coordinate meetings, appointments, and official events, including preparing agendas and taking minutes.
- Prepare various reports, presentations, and official documents, ensuring accuracy and adherence to governmental standards.
- Oversee office supplies inventory, place orders, and manage procurement processes to ensure adequate stock levels.
- Assist in budget tracking, processing invoices, expense reports, and other financial documentation with strict adherence to regulations.
- Serve as the first point of contact for visitors and constituents, providing courteous assistance and directing inquiries appropriately.
- Support various departmental projects and initiatives by providing administrative assistance and coordination.
- Ensure the confidentiality and security of sensitive information and official documents.
- Operate and maintain office equipment such as printers, scanners, and projectors.
- Collaborate with internal teams and external stakeholders to facilitate smooth inter-departmental operations.
- Adhere to all municipal policies, procedures, and governmental guidelines.
Required Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills in both Arabic and English.
