Singita Kwitonda Lodge is looking for a dedicated Office Assistant to provide essential administrative support to our Musanze operations. This is a unique opportunity for individuals with ‘no experience needed’ to learn, grow, and contribute to the smooth running of a luxury conservation-focused lodge. Key Responsibilities
- Manage and organize office files, documents, and records, both physical and digital, ensuring easy retrieval and confidentiality.
- Handle incoming and outgoing correspondence, including emails, letters, and packages, directing them to the appropriate personnel.
- Maintain office supply inventory, monitor stock levels, and place orders as needed to ensure continuous availability.
- Assist with scheduling appointments, meetings, and travel arrangements for various departments within the lodge.
- Prepare basic reports, presentations, and other administrative documents using standard office software (e.g., Microsoft Word, Excel).
- Greet visitors, answer and direct phone calls with professionalism and courtesy, providing excellent first impressions.
- Support various departments with ad-hoc administrative tasks and projects as required, demonstrating flexibility and a proactive approach.
Required Skills
- Strong organizational and time management skills.
- Excellent verbal and written communication skills in English and Kinyarwanda.
- Basic computer literacy (ability to use email, internet, and learn new software quickly).
- A positive attitude, strong work ethic, and eagerness to learn.
