Job Description

We are seeking a highly organised, proactive, and friendly Office Assistant to join our bustling London office. This vital role supports the smooth day-to-day operations of our office, ensuring that our colleagues have everything they need to perform at their best and that our visitors receive a warm welcome. As an Office Assistant, you will be the heart of our administrative functions, handling a diverse range of tasks that keep our environment efficient and productive. Key Responsibilities

  • Manage and maintain office supplies, ensuring adequate stock levels and placing orders as needed.
  • Act as the first point of contact for visitors, greeting them warmly and directing them appropriately.
  • Handle incoming and outgoing mail and deliveries, including courier services.
  • Assist with scheduling and coordinating meetings, including room bookings and preparing meeting materials.
  • Maintain the tidiness and organisation of common office areas, meeting rooms, and kitchen facilities.
  • Provide administrative support to various departments, including data entry, filing, scanning, and document preparation.
  • Assist with basic IT troubleshooting and liaise with IT support for more complex issues.
  • Manage and update office directories and contact lists.
  • Support event planning and coordination for internal company events.
  • Process invoices, expenses, and other financial documents as required.
  • Answer and direct phone calls, taking messages as necessary.
  • Undertake other ad-hoc administrative duties as requested to support office operations.

Required Skills

  • Proven experience in an administrative or office support role.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organisational and time management abilities with a keen eye for detail.
  • Ability to multitask and prioritise effectively in a dynamic environment.
  • A proactive, 'can-do' attitude and a willingness to learn.
  • Exceptional interpersonal skills and a professional demeanour.

Preferred Qualifications

  • Previous experience working in a large corporate environment.
  • Familiarity with office management software or CRM systems.
  • A levels or equivalent qualification.
  • Ability to work independently as well as part of a team.
  • Basic knowledge of health and safety procedures in an office setting.
