Job Description

We are seeking a vibrant, organized, and exceptionally friendly Office Administrator to manage our reception desk and provide comprehensive administrative support at our Nanyuki office. As the first point of contact for visitors, partners, and staff, your warm demeanor and professional efficiency will be crucial in creating a welcoming and positive impression for Ol Pejeta Conservancy. This role is far more than just answering phones; it’s about being the central hub of our administrative operations, ensuring smooth day-to-day office functions that underpin our vital conservation work.

The ideal candidate will possess a genuine desire to assist others, coupled with strong organizational skills to manage multiple tasks effectively. You will be responsible for handling incoming communications, coordinating meetings, managing office supplies, and providing essential support to various departments. Key Responsibilities

  • Serve as the primary point of contact at the reception desk, welcoming visitors, answering calls, and directing inquiries professionally and courteously.
  • Manage incoming and outgoing correspondence, including mail, emails, and packages, ensuring timely distribution and dispatch.
  • Maintain an organized and tidy reception area and general office space, reflecting Ol Pejeta’s professional image.
  • Schedule and coordinate meetings, appointments, and conference room bookings for staff and external partners.
  • Provide administrative support to various departments, including data entry, document preparation, and filing (both physical and digital).
  • Monitor and manage office supply inventory, placing orders and ensuring adequate stock levels.
  • Assist with basic HR administrative tasks, such as maintaining staff records and onboarding new employees.
  • Process invoices, petty cash, and expense reports in coordination with the finance department.
  • Organize travel arrangements and accommodation for staff members as required.
  • Handle sensitive information with discretion and maintain strict confidentiality.
  • Assist in organizing company events, workshops, and internal communications as needed.

Required Skills

  • Proven experience as an Office Administrator, Receptionist, or in a similar administrative role (minimum 2 years).
  • Exceptional interpersonal and communication skills (verbal and written) in English and Kiswahili.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time-management skills with the ability to prioritize tasks.
  • Friendly, approachable, and professional demeanor with a customer-service mindset.
  • Ability to work independently and as part of a team.
  • High level of integrity and discretion in handling confidential information.

Preferred Qualifications

  • Diploma or Certificate in Business Administration, Office Management, or a related field.
  • Experience working in a non-profit, conservation, or tourism-related organization.
  • Familiarity with office management software and systems.
  • Basic accounting or bookkeeping knowledge.
