Key Responsibilities

  • Manage and maintain a highly organized and efficient office environment, ensuring all administrative processes run smoothly.
  • Handle all incoming and outgoing correspondence, including emails, letters, and phone calls, with professionalism and discretion.
  • Maintain accurate and up-to-date filing systems, both digital and physical, for all important documents and records.
  • Prepare, edit, and proofread reports, presentations, and other documents as required by various departments.
  • Schedule and coordinate meetings, appointments, and travel arrangements for branch staff and management.
  • Manage office supplies inventory, placing orders as needed and ensuring cost-effective procurement.
  • Assist in the onboarding process for new employees, preparing necessary paperwork and setting up workstations.
  • Act as a central point of contact for internal and external queries, providing timely and helpful information.
  • Support the branch manager and other staff with various administrative tasks and special projects.
  • Ensure compliance with Bank of Kigali's administrative policies and procedures.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills in English and Kinyarwanda
  • Proven organizational and time management abilities
  • Strong attention to detail and accuracy
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment
  • High level of integrity and ability to maintain confidentiality
  • Proactive problem-solving skills

Preferred Qualifications

  • A Bachelor's degree in Business Administration, Office Management, or a related field
  • Experience working within the banking or financial services sector
  • Familiarity with various office management software and tools
  • Ability to communicate in French is an added advantage
