Key Responsibilities
- Manage and organize office files, records, and documents, both physical and digital.
- Handle incoming and outgoing correspondence, including emails, letters, and packages.
- Order and maintain office supplies, ensuring adequate stock levels.
- Coordinate and schedule meetings, appointments, and travel arrangements for staff as needed.
- Prepare and edit reports, presentations, and other documents.
- Provide general administrative support to the branch manager and other staff members.
- Maintain confidentiality of sensitive information and documents.
- Assist with basic accounting and budget tracking tasks.
- Operate and maintain office equipment such as printers, scanners, and photocopiers.
- Ensure the office environment is tidy, organized, and welcoming.
- Assist in the onboarding process for new employees by preparing workspaces and materials.
- Facilitate internal communication and information flow within the branch.
Required Skills
- Proven experience as an Office Administrator, Administrative Assistant, or similar role (minimum 2 years).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills in English and Kinyarwanda.
- Strong organizational and planning skills with meticulous attention to detail.
- Ability to prioritize tasks and manage time effectively.
- High level of integrity and ability to maintain confidentiality.
