Job Description
Rwanda Mountain Tea is seeking a highly organized, detail-oriented, and proactive Office Administrator with strong clerical support skills to join our team in Nyamasheke, Western Province. This full-time, on-site role is pivotal in ensuring the smooth and efficient operation of our local office. As the first point of contact for many, you will play a crucial role in maintaining our professional image and supporting our administrative functions. The ideal candidate will be adept at managing various office tasks, from handling communications and maintaining records to coordinating schedules and supporting staff with clerical needs.
You will be instrumental in creating a productive and organized environment, directly contributing to the daily operational success of our tea estate administration. This position demands excellent interpersonal skills, a strong work ethic, and the ability to manage multiple priorities effectively in a fast-paced setting. Beyond daily administrative duties, this role also involves fostering a welcoming and efficient atmosphere for both internal staff and external visitors. Key Responsibilities
- Manage and organize office operations, including filing systems, supplies, and equipment maintenance.
- Serve as the primary point of contact for internal and external inquiries, greeting visitors and directing calls appropriately.
- Handle incoming and outgoing correspondence, including mail, emails, and packages, ensuring timely delivery and response.
- Maintain accurate records, databases, and administrative files, ensuring data integrity and confidentiality.
- Assist with scheduling appointments, meetings, and travel arrangements for staff as required.
- Prepare and format documents, reports, presentations, and spreadsheets with precision and attention to detail.
- Process invoices, expense reports, and other financial documents in coordination with the finance department.
- Support the team with various clerical tasks, including photocopying, scanning, data entry, and document distribution.
- Ensure office security procedures are followed and maintain a tidy and professional office environment.
Required Skills
- Proven experience as an Office Administrator or in a similar clerical role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills with the ability to prioritize tasks.
- Strong verbal and written communication skills in English and Kinyarwanda.
- High level of accuracy and attention to detail.
- Ability to work independently and as part of a team.
- Demonstrated integrity and ability to handle confidential information.
