Job Description

As an NGO (Education) Administrator at Deutsche Welthungerhilfe, you will play a pivotal role in ensuring the efficient and effective implementation of our education-focused projects, primarily operating from our headquarters in Bonn. This position is central to the logistical, administrative, and communicative backbone of our educational initiatives, supporting program managers and project teams in Germany and abroad. You will be responsible for a diverse range of tasks, including the meticulous organization of project documentation, managing procurement processes for educational materials, and facilitating internal and external communication with project partners, beneficiaries, and stakeholders.

Your day-to-day responsibilities will involve coordinating travel arrangements for field staff, assisting with budget monitoring and financial reporting related to education projects, and maintaining comprehensive databases of project progress and outcomes. You will be instrumental in scheduling meetings, preparing presentations, and ensuring that all administrative tasks are executed in strict accordance with Welthungerhilfe’s operational guidelines and donor requirements. Furthermore, you will serve as a key point of contact for inquiries related to our education portfolio, offering crucial support to ensure that our programs run smoothly and achieve their intended impact.

Key Responsibilities

  • Provide comprehensive administrative support to the Education Department and related projects.
  • Manage project documentation, ensuring accuracy, completeness, and accessibility.
  • Coordinate logistics, including travel arrangements, meeting schedules, and workshop organization.
  • Assist with financial administration tasks such as budget tracking, expense reporting, and procurement processes for educational materials.
  • Facilitate internal and external communication with project teams, partners, and stakeholders.
  • Maintain and update project databases, ensuring data integrity and compliance with organizational standards.
  • Prepare reports, presentations, and other communication materials as required.
  • Act as a point of contact for general inquiries related to education projects.
  • Ensure compliance with organizational policies, donor requirements, and local regulations.

Required Skills

  • Proven administrative and organizational skills, with strong attention to detail.
  • Excellent written and verbal communication skills in English and German (C1 level minimum).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Demonstrated ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Experience working in a fast-paced office environment, preferably within an NGO or international development context.
  • Strong interpersonal skills and the ability to work effectively in a multicultural team.
  • Basic understanding of financial administration and budget management principles.

Preferred Qualifications

  • Bachelor's degree in Public Administration, Business Administration, Education, International Development, or a related field.
  • Experience with project management software or enterprise resource planning (ERP) systems.
  • Knowledge of humanitarian aid principles and development cooperation frameworks.
  • Additional language skills (e.g., French, Spanish, Arabic) are an asset.
