As an NGO Administrative Intern, you will play a crucial role in ensuring the smooth and efficient running of our office. You’ll be exposed to various aspects of non-profit management, including project support, communication, data management, and operational logistics. Key Responsibilities

  • Provide comprehensive administrative support to various departments, ensuring efficient workflow and timely completion of tasks.
  • Assist in organizing and coordinating meetings, workshops, and events, including scheduling, preparing materials, and managing logistics.
  • Manage and maintain accurate filing systems, both physical and digital, ensuring confidentiality and easy retrieval of documents.
  • Draft and edit correspondence, reports, presentations, and other communication materials as required.
  • Handle incoming and outgoing communications, including phone calls, emails, and postal mail, directing inquiries appropriately.
  • Support data entry and management for various projects and programs, ensuring accuracy and integrity of information.
  • Assist with basic accounting and financial record-keeping tasks, such as processing invoices and tracking expenses.
  • Conduct research on various topics pertinent to NGO operations, project development, or community needs.
  • Help with procurement of office supplies and equipment, managing inventory and liaising with vendors.
  • Contribute to the positive office environment by actively participating in team meetings and initiatives.

Required Skills

  • Excellent written and verbal communication skills in English and Swahili.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and prioritize effectively.
  • Proactive and self-motivated with a strong work ethic.
  • Basic understanding of administrative procedures.
  • Ability to work effectively both independently and as part of a team.

Preferred Qualifications

  • Currently pursuing or recently completed a diploma or degree in Business Administration, Social Sciences, Public Relations, or a related field.
  • Demonstrated interest or volunteer experience in the non-profit or community development sector.
  • Familiarity with database management systems or project management tools.
  • Experience in a fast-paced office environment (e.g., through volunteer work, part-time jobs, or school projects).
