Job Description
We are seeking a highly organised and proactive Municipal Clerk to join our administrative team. The Municipal Clerk plays a pivotal role in supporting the efficient functioning of the municipality’s administrative operations, particularly within our governance structures. This position requires an individual with exceptional organisational skills, meticulous attention to detail, and a commitment to public service. You will be instrumental in ensuring the smooth flow of information, maintaining accurate records, and facilitating effective communication within the municipality and with external stakeholders. Key Responsibilities
- Prepare agendas, minutes, and supporting documents for council and committee meetings.
- Attend council and committee meetings to record proceedings and resolutions.
- Manage and maintain official municipal records, ensuring accuracy, security, and accessibility.
- Draft and process official correspondence, memoranda, and reports.
- Assist with the coordination of public participation programmes and community engagements.
- Provide administrative support to senior officials and various municipal departments.
- Handle public enquiries and direct residents to appropriate municipal services or information.
- Ensure compliance with municipal by-laws, policies, and relevant legislation.
- Assist in the preparation and distribution of public notices and announcements.
- Support the implementation of administrative systems and procedures to enhance efficiency.
Required Skills
- Proven administrative experience, preferably within a government or public sector environment.
- Excellent written and verbal communication skills in English.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organisational and time management abilities, with attention to detail.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Sound understanding of local government structures and administrative processes.
- Valid South African Driver's License.
Preferred Qualifications
- National Diploma or Degree in Public Administration, Office Administration, or a related field.
- Experience with electronic document management systems.
- Fluency in other official South African languages, particularly those spoken in the North West province.
- Previous experience working in a hybrid work model.
