Job Description
We are seeking a highly organised, detail-oriented, and proactive Municipal Administrator to join the dynamic team at Bitou Local Municipality. This crucial role provides comprehensive administrative support across various departments, ensuring the smooth and efficient operation of municipal services. Key Responsibilities
- Provide comprehensive administrative support to various municipal departments and officials, including scheduling, correspondence, and report preparation.
- Manage and maintain accurate municipal records, databases, and filing systems (both physical and digital) in compliance with regulatory standards.
- Coordinate and prepare agendas, minutes, and supporting documents for council meetings, committee meetings, and other official gatherings.
- Act as a central point of contact for internal and external inquiries, directing them appropriately and ensuring timely responses.
- Assist with budget preparation and monitoring, processing invoices, requisitions, and other financial documentation.
- Facilitate communication between departments, external stakeholders, and the public.
- Manage office supplies, equipment maintenance, and general office upkeep to ensure a functional working environment.
- Assist in the organisation and logistics of municipal events, public hearings, and community outreach programs.
- Ensure adherence to all municipal policies, procedures, and relevant legislative frameworks.
Required Skills
- Proven experience in an administrative or secretarial role, preferably within a public sector or government environment.
- Excellent written and verbal communication skills in English (Afrikaans and Xhosa proficiency would be advantageous).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and data management systems.
- Strong organizational skills with the ability to multitask, prioritise work, and meet deadlines effectively.
- Exceptional attention to detail and accuracy in all administrative tasks.
- Ability to handle confidential information with integrity and discretion.
- Strong problem-solving abilities and a proactive approach to task management.
Preferred Qualifications
- A National Diploma or Degree in Public Administration, Office Management, or a related field.
- Knowledge of local government legislation, policies, and procedures in South Africa.
- Experience with municipal specific software or ERP systems.
