Job Description

We are seeking a highly organised and detail-oriented Mine Administrator to join our operations in Hattingspruit, KwaZulu-Natal. This crucial role acts as the backbone of our mine site’s administrative functions, ensuring smooth day-to-day operations and efficient support for all departments. The successful candidate will be responsible for a broad range of administrative tasks, from data management and record-keeping to procurement support and general office management. This position requires an individual with excellent communication skills, a proactive approach to problem-solving, and the ability to thrive in a fast-paced, industrial environment. You will be a central point of contact, coordinating activities and information flow, and contributing directly to the operational efficiency and compliance of our Hattingspruit mine. Key Responsibilities

  • Manage and maintain accurate mine operational records, reports, and databases.
  • Handle all incoming and outgoing correspondence, including emails, faxes, and general mail.
  • Prepare, edit, and format various documents, presentations, and reports as required by management.
  • Assist with procurement processes, including raising purchase orders, tracking deliveries, and liaising with suppliers.
  • Coordinate meetings, prepare agendas, and take minutes for various departmental and site meetings.
  • Manage the mine site's filing system (both physical and electronic) to ensure efficient retrieval of information.
  • Maintain office supplies inventory and place orders as needed to ensure continuous availability.
  • Provide administrative support to various departments, including HR, Safety, and Production.
  • Assist with basic HR administrative tasks such as onboarding documentation and leave management for site personnel.
  • Ensure compliance with company policies and procedures, as well as relevant mining regulations.
  • Manage visitor logs and provide general reception duties for the mine site office.
  • Collaborate with other administrative staff to ensure consistent and high-quality support.

Required Skills

  • Proven experience as an administrator, preferably within the mining, industrial, or heavy engineering sector.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills in English.
  • Exceptional organizational and time management abilities, with a keen eye for detail.
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and a proactive approach to tasks.
  • Matriculation Certificate (Grade 12) or equivalent.
  • Valid driver's license.

Preferred Qualifications

  • Tertiary qualification in Office Administration, Business Management, or a related field.
  • Experience with enterprise resource planning (ERP) systems (e.g., SAP, Oracle).
  • Knowledge of basic accounting principles and procurement processes.
  • First Aid and basic safety training certificates.
  • Familiarity with mining industry specific terminology and regulatory requirements.
