Job Description
We are seeking an enthusiastic and highly organized MICE Event Coordinator to join our dynamic Sales & Marketing team at the Kigali Marriott Hotel. This pivotal role is perfect for a detail-oriented professional with a passion for creating seamless and impactful events. As a MICE Event Coordinator, you will be instrumental in planning, executing, and overseeing a diverse portfolio of corporate meetings, conferences, incentive trips, and social gatherings. You will work closely with clients from initial inquiry through to post-event follow-up, ensuring every aspect of their event is handled with precision and personalized care. This role demands exceptional communication skills, a proactive approach to problem-solving, and the ability to manage multiple projects simultaneously under tight deadlines. You will be a key liaison between clients and various hotel departments, orchestrating every detail from room setup and AV requirements to catering menus and guest accommodation. Key Responsibilities
- Serve as the primary point of contact for MICE clients, guiding them through the entire event planning process from concept to completion.
- Develop detailed event proposals, contracts, and banquet event orders (BEOs) accurately reflecting client needs and hotel capabilities.
- Coordinate with internal departments including Food & Beverage, Banquets, Audiovisual, Front Office, and Housekeeping to ensure seamless event execution.
- Conduct site inspections and client meetings to showcase our facilities and understand specific event requirements.
- Manage event budgets, negotiate with vendors, and track expenses to ensure events are executed within financial parameters.
- Oversee on-site event setup, ensure all technical and logistical requirements are met, and provide immediate support during events.
- Maintain up-to-date knowledge of industry trends, competitor offerings, and MICE market developments.
- Prepare post-event reports, gather client feedback, and contribute to continuous improvement initiatives.
- Assist in the development and implementation of MICE sales strategies to attract new business and retain existing clients.
Required Skills
- Proven experience in event coordination, preferably within the MICE sector or a luxury hotel environment.
- Exceptional organizational skills and meticulous attention to detail.
- Strong communication, negotiation, and interpersonal abilities.
- Proficiency in event management software (e.g., Opera S&C, Delphi) and Microsoft Office Suite.
- Ability to work effectively under pressure and manage multiple projects simultaneously.
- Demonstrated problem-solving skills and a proactive, 'can-do' attitude.
- Fluency in English (written and spoken).
Preferred Qualifications
- Bachelor's degree in Hospitality Management, Event Management, Marketing, or a related field.
- Additional language proficiency, especially in Kinyarwanda or French.
- Certifications in event planning (e.g., CMP – Certified Meeting Professional).
- Experience with international clients and diverse cultural events.
- Knowledge of local supplier networks and event venues in Rwanda.
