Key Responsibilities
- Manage and maintain complex appointment diaries for medical practitioners.
- Act as the primary point of contact for patients, greeting them warmly and handling inquiries professionally, both in person and over the phone.
- Process referrals, clinic letters, and other medical correspondence, ensuring accuracy and timely dispatch.
- Maintain meticulous patient records (digital and physical) in compliance with data protection regulations (GDPR).
- Prepare consultation rooms, ensure all necessary equipment and paperwork are ready for clinics.
- Handle patient billing, payments, and insurance queries.
- Manage office supplies and maintain a tidy, organised reception area.
- Liaise with hospitals, laboratories, and other medical facilities as required.
- Provide comprehensive administrative support to clinicians and the wider practice team.
- Ensure strict adherence to confidentiality protocols and ethical guidelines at all times.
Required Skills
- Proven experience as a Medical Secretary or in a similar administrative role within a healthcare setting.
- Excellent knowledge of medical terminology and procedures.
- Proficiency in medical dictation and transcription.
- Exceptional organisational and time management skills.
- Outstanding written and verbal communication abilities.
- High level of computer literacy, including experience with patient management systems (e.g., Emis Web, SystmOne, DGL Practice Manager).
