Career.supersecrets is seeking a dedicated Medical Office Operations Assistant to join a dynamic healthcare team in Ladysmith, KwaZulu-Natal. This full-time role is crucial in ensuring the efficient day-to-day functioning of a busy medical practice, directly contributing to exceptional patient care and administrative excellence. You will be at the heart of our operations, managing a variety of tasks that span administrative support, patient coordination, and maintaining office efficiency. Key Responsibilities

  • Manage patient scheduling, appointments, and referrals with accuracy and efficiency.
  • Handle incoming calls, emails, and general inquiries, providing courteous and informative responses.
  • Maintain and update patient records, ensuring strict adherence to confidentiality protocols (POPIA, HIPAA where applicable).
  • Process medical billing, insurance claims, and payments, assisting patients with related queries.
  • Oversee office supply inventory, ordering, and restocking to ensure continuous operation.
  • Coordinate communication between medical staff, patients, and external healthcare providers.
  • Prepare examination rooms, ensuring cleanliness and adequate supplies.
  • Assist with administrative tasks such as filing, data entry, and document preparation.
  • Support the implementation of new office procedures and systems to enhance efficiency.
  • Maintain a welcoming and organized reception area, greeting patients professionally.

Required Skills

  • Minimum of 2 years of experience in a medical office or similar administrative role.
  • Proficiency in medical office software and electronic health record (EHR) systems.
  • Exceptional organizational and time management skills.
  • Strong verbal and written communication abilities in English.
  • Demonstrated ability to maintain patient confidentiality.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work effectively both independently and as part of a team.
  • High degree of accuracy and attention to detail.

Preferred Qualifications

  • Relevant certification in Medical Office Administration or Secretarial Studies.
  • Familiarity with local healthcare regulations and billing practices in South Africa.
  • Experience with a specific EHR system commonly used in South Africa (e.g., HealthBridge, Med-e-Mass).
  • Ability to communicate in isiZulu or Afrikaans is an advantage.
