Key Responsibilities

  • Greet and welcome patients and visitors in a professional and friendly manner, ensuring a positive first impression.
  • Manage the patient registration process, including verifying personal and insurance information accurately and efficiently.
  • Schedule and confirm patient appointments, managing the clinic's appointment calendar to optimize patient flow and resource utilization.
  • Answer multi-line phones, direct calls to appropriate personnel, and respond to patient inquiries with accurate and helpful information.
  • Process patient payments, manage billing inquiries, and maintain accurate financial records for all transactions.
  • Maintain patient records, ensuring strict confidentiality and accuracy in both physical and electronic systems (EMR).
  • Prepare and maintain the waiting area, ensuring a clean, tidy, and comfortable environment for patients and their companions.
  • Provide comprehensive administrative support to medical staff, including filing, scanning, managing correspondence, and preparing documents.
  • Handle incoming and outgoing mail, faxes, and emails related to clinic operations and patient communications.
  • Assist with inventory management of office supplies and clinical forms, ensuring adequate stock levels.

Required Skills

  • Excellent verbal and written communication skills with a strong command of English and Swahili.
  • Strong organizational and multitasking abilities, capable of managing competing priorities effectively.
  • Proficiency in computer applications, including Microsoft Office Suite (Word, Excel) and email platforms.
  • Demonstrated empathy, patience, and a friendly, approachable demeanor.
  • Ability to maintain strict confidentiality and handle sensitive patient information with discretion.

Preferred Qualifications

  • Diploma or Certificate in Office Administration, Secretarial Studies, Business Management, or a related field.
  • Previous experience (1-2 years) in a medical office, hospital, or a high-volume customer service role.
  • Familiarity with Electronic Medical Record (EMR) systems.
  • Basic knowledge of medical terminology.
  • Experience handling cash and managing payment processing systems.
