Key Responsibilities
- Warmly greet and welcome patients and visitors, providing an outstanding first impression of the clinic.
- Manage patient registration, appointment scheduling, and appointment confirmation for various medical services and specialists.
- Answer multi-line phone systems, direct calls appropriately, and handle patient inquiries with courtesy and efficiency.
- Maintain accurate and up-to-date patient records, ensuring strict confidentiality and adherence to data protection regulations.
- Process patient payments, manage billing inquiries, and assist with insurance verification procedures.
- Prepare and manage patient files, ensuring all necessary documentation is present and correctly filed.
- Coordinate with medical staff, nurses, and other departments to facilitate patient flow and operational efficiency.
- Manage incoming and outgoing mail, faxes, and emails, distributing them to the appropriate personnel.
- Maintain a tidy, organized, and professional reception area and waiting room.
- Order and manage office supplies, ensuring adequate stock levels.
- Assist with general administrative duties, including data entry, scanning, photocopying, and report generation as required.
- Handle patient complaints or concerns with empathy, escalating issues to management when necessary.
Required Skills
- Proven experience (minimum 1 year) in a receptionist or administrative role, preferably within a medical or healthcare setting.
- Exceptional verbal and written communication skills in English and Kiswahili.
- Proficiency in using office software, including MS Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking abilities with excellent attention to detail.
- Demonstrated ability to maintain confidentiality and handle sensitive patient information with discretion.
- Customer-service oriented with a professional, friendly, and empathetic demeanor.
- Ability to work effectively both independently and as part of a team.
Preferred Qualifications
- Diploma or Certificate in Office Administration, Secretarial Studies, or a related field.
- Familiarity with medical terminology and healthcare administrative procedures.
- Experience with Electronic Health Record (EHR) systems or patient management software.
- Knowledge of basic first aid or emergency protocols.
- Additional fluency in local languages relevant to Garissa County.
