Job Description

Coligny Landbou Koöperasie is seeking a highly organized, detail-oriented, and proactive Legal Assistant to join our dedicated team in Coligny, North West. This is a pivotal role that will provide comprehensive administrative and legal support to our management, ensuring the smooth and efficient operation of all legal and compliance-related matters within the cooperative. The Legal Assistant will play a crucial role in maintaining legal documentation, assisting with contract management, conducting preliminary research, and facilitating communication with external legal counsel when necessary. Given the nature of an agricultural cooperative, you will gain exposure to a diverse range of legal areas, including commercial law, land use, environmental regulations, employment law, and general corporate governance. This position demands a keen eye for detail, excellent organizational skills, and the ability to handle confidential information with the utmost discretion. You will be instrumental in helping us navigate the complex legal landscape of the agricultural sector, ensuring our operations remain compliant and our members’ interests are protected. Key Responsibilities

  • Drafting, reviewing, and organizing various legal documents, including contracts, agreements, policies, and correspondence under the supervision of management or legal counsel.
  • Maintaining and managing physical and electronic legal files, ensuring all documentation is accurately categorized, up-to-date, and easily retrievable.
  • Conducting preliminary legal research on specific issues related to agricultural law, regulatory compliance, commercial transactions, or other areas pertinent to the cooperative's operations.
  • Assisting with the preparation of reports, presentations, and other materials for board meetings, committee meetings, or general assemblies.
  • Coordinating and scheduling meetings, appointments, and consultations with internal stakeholders and external legal advisors.
  • Facilitating communication between internal departments and external legal counsel, ensuring timely exchange of information and documentation.
  • Managing office correspondence, including emails and telephone calls, related to legal matters.
  • Assisting in the due diligence process for various transactions and projects.
  • Ensuring compliance with internal policies and procedures, as well as relevant South African laws and regulations.
  • Performing general administrative duties to support the efficient functioning of the office.

Required Skills

  • Minimum of 1 year of proven experience as a Legal Assistant, Paralegal, or in a similar administrative legal role.
  • Proficiency in legal research methods and tools.
  • Excellent written and verbal communication skills in English and Afrikaans (advantageous due to local context).
  • Strong organizational skills and meticulous attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • High level of discretion and ability to handle confidential information responsibly.
  • Understanding of basic legal terminology and principles.

Preferred Qualifications

  • A paralegal certificate or diploma in Legal Studies/Office Administration.
  • Experience working in the agricultural sector or with cooperatives.
  • Familiarity with South African commercial law, land law, or environmental regulations.
  • Experience with document management systems.
  • Ability to work independently and as part of a team.
