Key Responsibilities
- Manage and organize physical and digital filing systems, ensuring accuracy, security, and easy retrieval of documents.
- Assist with scheduling appointments, meetings, and maintaining calendars for various team members and departments.
- Prepare and edit correspondence, reports, presentations, and other administrative documents as requested, ensuring high standards of grammar and formatting.
- Handle incoming and outgoing mail, emails, and phone calls, directing them appropriately and taking accurate messages when necessary.
- Maintain office supplies inventory, place orders, and ensure the timely availability of necessary resources for staff.
- Receive and professionally welcome visitors, clients, and guests, directing them to the appropriate personnel or meeting rooms.
- Perform accurate data entry tasks, updating records, databases, and spreadsheets with precision and confidentiality.
- Support senior administrative staff and other departments with various ad-hoc clerical tasks, projects, and initiatives.
- Ensure the general tidiness, organization, and professional appearance of the office common areas and workstation.
Required Skills
- Minimum of an Ordinary National Diploma (OND) or Higher National Diploma (HND) in Secretarial Studies, Business Administration, Public Administration, or a related field.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) with proven ability to create and manage documents, spreadsheets, and presentations.
- Excellent written and verbal communication skills in English, with a strong grasp of grammar and spelling.
- Strong organizational and time management abilities, capable of prioritizing tasks and managing multiple responsibilities effectively.
- Exceptional attention to detail and accuracy in all clerical duties.
- Ability to handle confidential information with the utmost discretion and professionalism.
- Proactive attitude with a strong willingness to learn, adapt quickly, and take initiative.
- Basic understanding of standard office procedures and clerical duties.
Preferred Qualifications
