Key Responsibilities

  • Manage and organize physical and digital files, ensuring accurate categorization, indexing, and easy retrieval of legal documents.
  • Process incoming and outgoing correspondence, including sorting, distributing, and preparing mail, emails, and packages.
  • Assist with data entry tasks, updating client records, case files, and internal databases with precision and accuracy.
  • Maintain office supplies inventory, monitor usage, and place orders as needed to ensure smooth office operations.
  • Scan, photocopy, print, and bind documents as required for various legal proceedings, presentations, and internal records.
  • Ensure strict confidentiality, security, and integrity of all sensitive client information and legal documents.
  • Provide general administrative support to legal staff, including scheduling and coordinating meetings, appointments, and conferences.
  • Assist with basic research tasks related to document retrieval, procedural guidelines, or office best practices.
  • Perform routine office maintenance tasks to ensure a tidy, organized, and professional workspace for all team members.
  • Support the front desk operations by greeting visitors, answering phones, and directing inquiries when necessary.

Required Skills

  • High School Diploma or equivalent.
  • Proven organizational skills with meticulous attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent written and verbal communication skills in English.
  • Ability to handle confidential information with the utmost discretion and professionalism.
  • Strong time management and multitasking abilities in a fast-paced environment.
  • Ability to work independently with minimal supervision and collaboratively as part of a team.
  • Demonstrated reliability and punctuality.

Preferred Qualifications
