Job Description

Van Loveren Family Vineyards is seeking an enthusiastic and highly organised Hybrid Event Coordinator to join our dynamic team. This pivotal role involves the seamless planning, execution, and post-event analysis of a diverse range of events hosted at our stunning vineyard estate. From exclusive wine launches and corporate retreats to elegant weddings and lively public festivals, you will be instrumental in bringing our vision to life and ensuring an unparalleled experience for all attendees.

As a Hybrid Event Coordinator, you will enjoy the flexibility of a work model that balances on-site event management and client interactions with the convenience of remote administrative tasks and strategic planning. You’ll be the primary point of contact for clients, suppliers, and internal teams, ensuring clear communication and meticulous coordination at every stage. This role requires a blend of creative flair, meticulous attention to detail, and a proactive approach to problem-solving. You’ll work closely with our marketing, hospitality, and cellar teams, contributing to the overall brand experience and enhancing our reputation as a premier events destination in the Western Cape. Key Responsibilities

  • Plan, organise, and execute a diverse range of on-site and hybrid events, including wine tastings, corporate functions, weddings, festivals, and private celebrations.
  • Manage event budgets, negotiate contracts with vendors, and secure necessary permits and licenses.
  • Liaise directly with clients to understand their needs, provide expert advice, and ensure their vision is realised.
  • Coordinate all event logistics, including venue setup, catering, entertainment, technical requirements, and staffing.
  • Develop and maintain strong relationships with suppliers, ensuring quality service and cost-effectiveness.
  • Oversee on-site event operations, ensuring smooth execution and prompt resolution of any issues.
  • Conduct post-event evaluations, gather feedback, and prepare reports to assess success and identify areas for improvement.
  • Collaborate with the marketing team to promote events and manage communication with attendees.
  • Maintain an organised system for event documentation, contracts, and client records.

Required Skills

  • Minimum 3 years of proven experience in event planning and coordination, preferably within the hospitality, wine, or MICE industry.
  • Exceptional organisational and project management skills with a strong eye for detail.
  • Excellent communication, negotiation, and interpersonal abilities.
  • Proficiency in event management software and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work under pressure, manage multiple projects simultaneously, and meet tight deadlines.
  • Strong problem-solving skills and a proactive, can-do attitude.
  • Valid driver's license and own reliable transport.
  • Flexibility to work evenings, weekends, and holidays as required by event schedules.

Preferred Qualifications

  • A degree or diploma in Event Management, Hospitality Management, Marketing, or a related field.
  • Experience with hybrid event technologies and virtual event platforms.
  • Knowledge of the Western Cape wine industry and local supplier networks.
  • Proficiency in an additional South African language (e.g., Afrikaans).
