Van Loveren Family Vineyards is seeking an enthusiastic and highly organised Hybrid Event Coordinator to join our dynamic team. This pivotal role involves the seamless planning, execution, and post-event analysis of a diverse range of events hosted at our stunning vineyard estate. Key Responsibilities
- Plan, organise, and execute a diverse range of on-site and hybrid events, including wine tastings, corporate functions, weddings, festivals, and private celebrations.
- Manage event budgets, negotiate contracts with vendors, and secure necessary permits and licenses.
- Liaise directly with clients to understand their needs, provide expert advice, and ensure their vision is realised.
- Coordinate all event logistics, including venue setup, catering, entertainment, technical requirements, and staffing.
- Develop and maintain strong relationships with suppliers, ensuring quality service and cost-effectiveness.
- Oversee on-site event operations, ensuring smooth execution and prompt resolution of any issues.
- Conduct post-event evaluations, gather feedback, and prepare reports to assess success and identify areas for improvement.
- Collaborate with the marketing team to promote events and manage communication with attendees.
- Maintain an organised system for event documentation, contracts, and client records.
Required Skills
- Minimum 3 years of proven experience in event planning and coordination, preferably within the hospitality, wine, or MICE industry.
- Exceptional organisational and project management skills with a strong eye for detail.
- Excellent communication, negotiation, and interpersonal abilities.
- Proficiency in event management software and Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to work under pressure, manage multiple projects simultaneously, and meet tight deadlines.
- Strong problem-solving skills and a proactive, can-do attitude.
- Valid driver's license and own reliable transport.
- Flexibility to work evenings, weekends, and holidays as required by event schedules.
Preferred Qualifications
- A degree or diploma in Event Management, Hospitality Management, Marketing, or a related field.
- Experience with hybrid event technologies and virtual event platforms.
- Knowledge of the Western Cape wine industry and local supplier networks.
- Proficiency in an additional South African language (e.g., Afrikaans).
