Job Description

We are seeking a highly motivated and customer-focused Front Desk Officer to be the welcoming face of Alpine Hotel Nyagatare. In this pivotal role, you will be the first point of contact for our valued guests, responsible for creating an exceptional first impression and ensuring a smooth, efficient, and enjoyable experience from arrival to departure. Your primary duties will include managing check-ins and check-outs with precision and speed, handling all guest inquiries, and processing reservations accurately. This position goes beyond administrative tasks; it requires a genuine passion for hospitality and a proactive approach to guest relations. You will anticipate guest needs, provide comprehensive information about hotel services and local attractions, and promptly resolve any concerns or issues that may arise, always maintaining a professional and courteous demeanor.

The ideal candidate will possess excellent communication skills, a keen eye for detail, and the ability to multitask effectively in a dynamic environment. You will maintain organized records, manage guest accounts, and collaborate closely with other hotel departments to ensure seamless service delivery. Key Responsibilities

  • Warmly welcome guests upon arrival and manage the check-in process efficiently.
  • Process guest check-outs, handling payments and ensuring accurate billing.
  • Handle all guest inquiries, requests, and complaints promptly and professionally.
  • Manage reservations, including making, confirming, and modifying bookings.
  • Provide detailed information about hotel facilities, services, and local attractions.
  • Maintain a tidy and organized front desk area.
  • Operate the hotel's property management system (PMS) for guest data and reservations.
  • Assist guests with luggage storage, taxi services, and other needs.
  • Liaise with housekeeping, maintenance, and other departments to ensure guest satisfaction.
  • Handle incoming calls and direct them appropriately.
  • Process cash and credit card transactions accurately.

Required Skills

  • Excellent verbal and written communication skills (Kinyarwanda and English essential).
  • Proven customer service experience, preferably in a hospitality setting.
  • Strong organizational and multitasking abilities.
  • Proficiency in basic computer applications (MS Office).
  • Ability to work effectively under pressure and resolve issues calmly.
  • A positive attitude and a professional demeanor.

Preferred Qualifications

  • Diploma or Certificate in Hospitality Management or a related field.
  • Previous experience (6+ months) as a Front Desk Agent or similar role in a hotel.
  • Familiarity with hotel Property Management Systems (PMS) such as Opera, Fidelio, or similar.
  • Proficiency in additional languages (e.g., French, Swahili).
