Job Description

We are seeking a highly organized and detail-oriented Export Documentation Clerk to join our dynamic team in Hermon, Western Cape. This hybrid role is crucial in ensuring the seamless and compliant flow of our international shipments. The Export Documentation Clerk will be responsible for the accurate and timely preparation, processing, and management of all required documentation for the export of our diverse product range, primarily wines and spirits, to various global destinations. This critical position demands a thorough understanding of international trade regulations, customs procedures, and shipping logistics. You will collaborate closely with internal logistics, sales, and production teams, as well as external freight forwarders and customs brokers, to guarantee the efficient and precise execution of export orders. The ideal candidate will possess exceptional administrative acumen, an unwavering eye for detail, and the capability to thrive in a fast-paced environment where precision is paramount. This role offers an exciting opportunity to contribute significantly to a globally recognized brand and further develop specialized expertise in international trade.

Key Responsibilities

  • Prepare and process all necessary export documentation, including commercial invoices, packing lists, certificates of origin, bills of lading, and customs declarations.
  • Ensure all documentation is accurate, fully compliant with international trade regulations, and meets country-specific import requirements.
  • Liaise effectively with internal departments (sales, production, warehouse) and external partners (freight forwarders, shipping lines, customs brokers) to coordinate shipment schedules and resolve any discrepancies.
  • Track and monitor export shipments, providing timely updates on status to relevant internal and external stakeholders.
  • Maintain comprehensive, organized, and auditable records of all export activities and associated documentation.
  • Assist with the resolution of any customs-related issues, queries, or inspections, working proactively to mitigate delays.
  • Process shipping instructions accurately and ensure timely booking of freight with selected carriers.
  • Stay updated on changes in international trade laws, customs regulations, and shipping procedures to ensure ongoing compliance.
  • Support the finance department with accurate billing and reconciliation of export-related costs and expenses.
  • Generate comprehensive reports on export activities, volumes, and performance as required by management.

Required Skills

  • Minimum of 3 years of verifiable experience in export documentation or international logistics.
  • Solid understanding of international trade terms (Incoterms), customs procedures, and global export regulations.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) with advanced Excel skills.
  • Exceptional attention to detail and unwavering commitment to accuracy in all documentation.
  • Strong organizational and time management skills, with the ability to prioritize and manage multiple tasks.
  • Excellent written and verbal communication skills, with the ability to articulate complex information clearly.
  • Ability to work both independently and collaboratively as part of a team in a hybrid work environment.
  • Proven problem-solving abilities and a proactive, solutions-oriented approach to challenges.

Preferred Qualifications

  • Relevant tertiary qualification (Diploma or Degree) in Logistics, Supply Chain Management, International Trade, or a related business field.
  • Experience with specific Enterprise Resource Planning (ERP) systems (e.g., SAP, Oracle) related to order processing and shipping modules.
  • Demonstrated knowledge of specific export requirements and regulations for alcoholic beverages.
  • Fluency in an additional language relevant to key export markets (e.g., French, Portuguese, German).
