Key Responsibilities
- Provide comprehensive administrative support to the executive, including managing an intricate calendar, scheduling meetings, and coordinating appointments across various platforms.
- Act as the primary point of contact for internal and external stakeholders, handling correspondence, phone calls, and inquiries with professionalism and discretion.
- Organise and coordinate complex national and international travel arrangements, including flights, accommodation, itineraries, ground transport, and visa applications.
- Prepare, proofread, and edit correspondence, communications, presentations, proposals, and other documents, ensuring accuracy and strict adherence to company standards.
- Plan and execute meetings, conferences, and events, including agenda preparation, accurate minute-taking, logistical coordination, and follow-up on action items.
- Manage and process expense reports, invoices, and other financial documentation in a timely and accurate manner, ensuring compliance with company policies.
- Conduct thorough research, compile comprehensive data, and prepare detailed reports as required to support executive decision-making and strategic planning.
- Maintain highly organised physical and electronic filing systems, ensuring complete confidentiality, data security, and easy retrieval of information.
- Proactively anticipate the executive's needs and provide effective solutions, often independently and with minimal direction, demonstrating strong initiative.
- Handle highly confidential and sensitive information with the utmost integrity, discretion, and ethical responsibility.

Required Skills
- Proven experience (minimum 4 years) as an Executive Assistant or Personal Assistant to senior management or C-suite executives.
- Exceptional organisational, planning, and time management skills with the ability to prioritise effectively in a demanding environment.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant office management software.
- Superior written and verbal communication skills in English, with impeccable grammar, spelling, and professional etiquette.
- High level of discretion, professionalism, integrity, and the ability to maintain strict confidentiality.
- Strong interpersonal skills and the ability to build rapport with diverse individuals across all levels of the organisation and with external clients.
- Demonstrated ability to work independently, exercise excellent judgment, take initiative, and solve problems proactively.
- Proven experience with complex calendar management software and virtual meeting platforms (e.g., Zoom, Microsoft Teams).
- A stable work history demonstrating reliability and commitment.
