Historic Tours of America is seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive administrative support to our senior leadership team based in Old Town, San Diego. Key Responsibilities
- Manage and maintain complex calendars, schedule meetings, appointments, and travel itineraries for senior leadership.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Organize and coordinate internal and external meetings, ensuring all logistics are handled efficiently, including room setup, catering, and technology.
- Act as a primary point of contact for internal and external stakeholders, fielding calls and emails with professionalism and discretion.
- Conduct research, compile data, and prepare reports and summaries as requested by executives.
- Handle confidential information with the utmost integrity and discretion.
- Process expense reports, invoices, and other financial documentation in a timely manner.
- Assist with special projects and initiatives, providing administrative support where needed.
- Maintain an organized filing system for all executive documents, both physical and digital.
- Coordinate domestic travel arrangements, including flights, accommodation, and ground transportation.
Required Skills
- Minimum of 4 years of experience as an Executive Assistant or in a similar senior administrative role.
- Exceptional organizational and time management skills, with the ability to prioritize effectively.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
- Strong written and verbal communication skills, with a professional and articulate demeanor.
- Proven ability to handle confidential information with discretion and integrity.
- High level of professionalism and strong interpersonal skills.
- Proactive problem-solver with a keen eye for detail and accuracy.
- Ability to work independently and collaboratively within a team environment.
