Key Responsibilities
- Manage complex and ever-changing calendars, scheduling meetings, appointments, and personal engagements.
- Coordinate extensive domestic and international travel arrangements, including flights, accommodation, visas, and detailed itineraries.
- Act as a primary point of contact and gatekeeper, fielding calls, emails, and correspondence, and escalating matters as appropriate.
- Prepare, review, and edit confidential documents, presentations, reports, and communications.
- Process expense reports, invoices, and other financial documentation with accuracy and in a timely manner.
- Organise and facilitate high-level meetings, including preparing agendas, taking minutes, and following up on action items.
- Assist with personal administration tasks as required, maintaining strict confidentiality.
- Build and maintain strong relationships with internal and external stakeholders, clients, and partners.
- Proactively anticipate the executive's needs and provide solutions before issues arise.
- Manage special projects and initiatives, ensuring deadlines are met and objectives achieved.
Required Skills
- Minimum of 5 years of experience providing executive-level support to C-suite executives or HNWIs.
- Exceptional organisational and time management skills, with the ability to multitask and prioritise effectively.
- Superior written and verbal communication skills, with impeccable grammar and attention to detail.
- Proven ability to exercise discretion and maintain the highest level of confidentiality.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant software/CRM systems.
- Demonstrated proactive problem-solving abilities and a strong sense of initiative.
- Ability to work independently and as part of a team in a dynamic environment.
- Strong interpersonal skills with a professional and composed demeanor.
Preferred Qualifications
- A Bachelor's degree in Business Administration, Communications, or a related field.
