As the Executive Assistant to the CEO, you will play a pivotal role in ensuring the CEO’s operational efficiency and effectiveness, acting as a critical point of contact and a strategic partner. This highly visible position requires exceptional organizational skills, proactive anticipation of needs, and the ability to manage complex calendars, extensive travel, and high-level communications with utmost discretion and professionalism. Key Responsibilities
- Manage and maintain the CEO's complex calendar, including scheduling meetings, appointments, and conferences, and ensuring timely preparation and necessary materials.
- Coordinate extensive domestic and international travel arrangements, including itineraries, visas, accommodation, and transportation, adapting quickly to last-minute changes.
- Act as the primary point of contact for internal and external stakeholders, screening and prioritizing communications (emails, calls), and responding professionally on behalf of the CEO when appropriate.
- Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy, consistency, and alignment with company standards.
- Organize and prepare for executive and board meetings, including agenda development, material distribution, minute-taking, and tracking action items.
- Conduct research, compile data, and analyze information to support the CEO's decision-making and strategic initiatives.
- Handle confidential and sensitive information with the utmost discretion and integrity.
- Process expense reports, invoices, and other financial documents, ensuring compliance with company policies.
- Assist with special projects and initiatives as assigned by the CEO, demonstrating flexibility and adaptability.
- Foster positive relationships with internal teams, external partners, and clients.
Required Skills
- Proven experience as an Executive Assistant supporting C-level executives for at least 6 years.
- Exceptional organizational and time management skills with a strong ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant collaboration tools.
- Superior written and verbal communication skills in English, with excellent grammar and proofreading abilities.
- High level of discretion, professionalism, and integrity when handling confidential information.
- Proactive, self-motivated, and able to work independently with minimal supervision.
- Strong problem-solving skills and attention to detail.
- Ability to anticipate needs and act resourcefully.
Preferred Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field.
- Proficiency in German and/or French, given the location in Switzerland.
- Experience working in a global, matrixed organization, preferably within the industrial technology or engineering sector.
- Familiarity with project management principles and tools.
- Demonstrated ability to manage multiple projects and priorities simultaneously.
