Key Responsibilities
- Manage and maintain complex calendars, scheduling meetings, appointments, and conferences with precision and efficiency.
- Coordinate extensive local and international travel arrangements, including flights, accommodation, visas, and detailed itineraries.
- Prepare, edit, and proofread correspondence, reports, presentations, and other documents to a high standard.
- Act as a primary point of contact, screening calls, managing emails, and handling inquiries with professionalism and discretion.
- Organise and facilitate meetings, including preparing agendas, distributing materials, arranging catering, and accurately minuting discussions.
- Process expense reports, manage invoices, and assist with budget tracking and financial administration.
- Handle confidential and sensitive information with the utmost integrity and professionalism.
- Provide project support and coordination, including tracking deadlines and liaising with various departments.
- Undertake research, compile data, and prepare summaries as required by the executive.
- Anticipate needs and proactively address potential issues to ensure seamless executive operations.
Required Skills
- Minimum of 5 years of experience as an Executive Assistant supporting senior management.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant business software.
- Exceptional organisational, planning, and time management skills.
- Superior verbal and written communication abilities.
- Demonstrated ability to exercise a high level of discretion and maintain confidentiality.
- Proactive problem-solver with a strong attention to detail.
- Ability to work independently and collaboratively in a fast-paced environment.
- Strong interpersonal skills and ability to build rapport at all levels.
Preferred Qualifications
- Relevant Secretarial Diploma, Office Administration Diploma, or a Bachelor’s Degree.
