Key Responsibilities
- Manage all aspects of event planning from conception through execution, including corporate events, social gatherings, weddings, and conferences.
- Liaise directly with clients to understand their needs, objectives, and budget, developing detailed proposals and event concepts.
- Coordinate with internal departments (catering, audiovisual, front desk, housekeeping) to ensure seamless event delivery.
- Source, negotiate, and manage relationships with external vendors, suppliers, and entertainers.
- Develop and manage event budgets, tracking expenses and revenue to ensure profitability.
- Create detailed event timelines, floor plans, and production schedules.
- Oversee on-site event setup, execution, and breakdown, troubleshooting any issues that arise.
- Conduct post-event evaluations, gathering feedback and preparing reports for continuous improvement.
- Stay updated on industry trends, new technologies, and competitor activities to maintain a competitive edge.
- Ensure all events comply with safety regulations and hotel policies.
Required Skills
- Proven experience as an Event Planner or similar role (minimum 3 years)
- Exceptional organizational and project management skills
- Strong negotiation and vendor management abilities
- Excellent communication and interpersonal skills, both written and verbal
- Proficiency in event management software (e.g., TripleSeat, Eventbrite) and Microsoft Office Suite
- Ability to work under pressure and manage multiple projects simultaneously
- Detail-oriented with a strong focus on quality and client satisfaction
- Fluent in Spanish and English (both written and spoken)
