Job Description

We are seeking a highly creative, organized, and experienced Event Planner to join our dynamic team at Hotel Tres Reyes Pamplona. This pivotal role involves orchestrating a diverse range of events, ensuring every detail is meticulously planned and flawlessly executed to exceed client expectations. From the initial concept development to post-event analysis, you will be the driving force behind successful and memorable events held within our prestigious venues. You will collaborate closely with clients, suppliers, and various internal departments including sales, catering, operations, and marketing, to bring visions to life. Key Responsibilities

  • Manage all aspects of event planning from conception through execution, including corporate events, social gatherings, weddings, and conferences.
  • Liaise directly with clients to understand their needs, objectives, and budget, developing detailed proposals and event concepts.
  • Coordinate with internal departments (catering, audiovisual, front desk, housekeeping) to ensure seamless event delivery.
  • Source, negotiate, and manage relationships with external vendors, suppliers, and entertainers.
  • Develop and manage event budgets, tracking expenses and revenue to ensure profitability.
  • Create detailed event timelines, floor plans, and production schedules.
  • Oversee on-site event setup, execution, and breakdown, troubleshooting any issues that arise.
  • Conduct post-event evaluations, gathering feedback and preparing reports for continuous improvement.
  • Stay updated on industry trends, new technologies, and competitor activities to maintain a competitive edge.
  • Ensure all events comply with safety regulations and hotel policies.

Required Skills

  • Proven experience as an Event Planner or similar role (minimum 3 years)
  • Exceptional organizational and project management skills
  • Strong negotiation and vendor management abilities
  • Excellent communication and interpersonal skills, both written and verbal
  • Proficiency in event management software (e.g., TripleSeat, Eventbrite) and Microsoft Office Suite
  • Ability to work under pressure and manage multiple projects simultaneously
  • Detail-oriented with a strong focus on quality and client satisfaction
  • Fluent in Spanish and English (both written and spoken)

Preferred Qualifications

  • Bachelor's degree in Hospitality Management, Event Management, Marketing, or a related field
  • Certification in Event Planning (e.g., CMP – Certified Meeting Professional)
  • Experience working in a luxury hotel or convention center environment
  • Knowledge of local Pamplona venues and suppliers
  • Additional language proficiency (e.g., French, German)
