Key Responsibilities
- Assist Event Coordinators with all phases of event planning, from concept development to post-event evaluation.
- Support in the coordination of event logistics, including venue setup, catering, audiovisual requirements, and decor.
- Help manage vendor relationships, including sourcing quotes, scheduling deliveries, and ensuring service quality.
- Perform administrative tasks such as data entry, maintaining event calendars, filing, and managing correspondence.
- Assist with client communications, preparing proposals, presentations, and post-event reports.
- Provide on-site support during events, ensuring smooth execution and addressing any immediate needs.
- Conduct research on potential venues, suppliers, and event trends.
- Assist with budgeting and tracking event expenses.
- Contribute to marketing and promotional activities for events.
- Maintain accurate records and documentation for all events.
Required Skills
- Matric/High School Diploma (NQF Level 4 or equivalent)
- Exceptional organisational and time management skills
- Strong verbal and written communication abilities
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- High level of attention to detail and accuracy
- Ability to work effectively in a fast-paced, dynamic environment
- Proactive attitude and a strong willingness to learn and adapt
- Ability to work flexible hours, including evenings and weekends, as required by events
Preferred Qualifications
- A certificate or diploma in Event Management, Hospitality, Marketing, or a related field.
- Previous volunteer or part-time experience in event support, hospitality, or customer service roles.
- Basic understanding of event planning software or CRM systems.
- A valid driver's license and own reliable transport.
