Job Description

Caritas Rwanda is seeking a dynamic and highly organized Event Coordinator Assistant for a short-term contract to support our impactful community development initiatives in Burera, Northern Province. This vital role will involve assisting in the planning, coordination, and execution of various events, workshops, training sessions, and community gatherings designed to advance our mission. You will play a crucial part in ensuring the smooth operation of these engagements, contributing directly to the success of our programs aimed at improving livelihoods and social well-being in the region.

The Event Coordinator Assistant will work closely with our program teams and local partners, providing comprehensive logistical and administrative support. This position offers an excellent opportunity to gain hands-on experience in event management within a non-profit context, working alongside a dedicated team committed to making a tangible difference. Key Responsibilities

  • Assist in the planning, preparation, and execution of community events, workshops, and meetings in Burera District.
  • Coordinate logistics including venue booking, equipment setup, transportation, and catering arrangements.
  • Manage event registration processes, attendee communication, and material distribution.
  • Support the development and distribution of event promotional materials.
  • Maintain detailed records of event budgets, expenditures, and participant feedback.
  • Work collaboratively with Caritas Rwanda staff, local partners, and community leaders to ensure event success.
  • Provide on-site support during events, troubleshooting any issues that may arise.
  • Prepare post-event reports summarizing activities, attendance, and outcomes.

Required Skills

  • Proven organizational and time management skills
  • Excellent verbal and written communication in Kinyarwanda and English (French is a plus)
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Ability to work independently and as part of a team in a fast-paced environment
  • Strong problem-solving abilities and attention to detail
  • Demonstrated ability to interact professionally with diverse stakeholders

Preferred Qualifications

  • Diploma or Bachelor’s degree in Event Management, Public Relations, Communications, Social Sciences, or a related field.
  • At least 1 year of experience in event coordination or administrative support, preferably within a non-profit or community-focused organization.
  • Familiarity with the socio-cultural context of Northern Province, particularly Burera District.
  • Experience with volunteer management or community mobilization.
