Job Description

We are seeking a proactive and enthusiastic Event Coordinator Assistant to join our team on a short-term contract basis. This role is based primarily at our King’s Palace Museum site in Nyanza, Southern Province, and will provide crucial support to our Event Coordination team in the planning, execution, and post-event analysis of various cultural events, exhibitions, workshops, and ceremonies. The ideal candidate will be a highly organized individual with a keen eye for detail, excellent communication skills, and a passion for cultural heritage. You will work closely with lead coordinators, contributing to all aspects of event logistics, from administrative tasks and vendor liaison to on-site setup and guest management. This is an excellent opportunity for an emerging professional to gain hands-on experience in event management within a significant cultural institution, contributing directly to the vibrant public engagement activities that showcase Rwanda’s heritage. The contract duration will be specified upon offer, typically lasting 3-6 months, depending on project needs and performance. Key Responsibilities

  • Assist in the administrative aspects of event planning, including scheduling meetings, preparing presentations, and maintaining accurate event records and databases.
  • Support the coordination of event logistics, such as venue setup, equipment procurement, catering arrangements, and transportation for events at the King's Palace Museum and other Nyanza-based sites.
  • Liaise with external vendors, suppliers, and internal departments to ensure seamless execution of event plans, assisting with quotes, contracts, and delivery schedules.
  • Manage guest registration processes, including preparing attendee lists, crafting invitation materials, and providing on-site welcome and directional support.
  • Provide active on-site support during events, assisting with participant inquiries, troubleshooting issues, and ensuring a smooth and engaging experience for all attendees.
  • Assist with post-event activities, including venue breakdown, inventory management, data collection, feedback analysis, and preparing summary reports.
  • Contribute to marketing and communication efforts for events, including drafting content for promotional materials and social media under supervision.

Required Skills

  • Proven organizational and time management skills with the ability to prioritize tasks effectively in a dynamic environment.
  • Excellent verbal and written communication skills in English and Kinyarwanda; proficiency in French is an added advantage.
  • Strong interpersonal skills and the ability to work collaboratively within a team and interact professionally with diverse stakeholders.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • High level of attention to detail and accuracy in all tasks.
  • Ability to work effectively under pressure and adapt to changing event requirements.
  • Demonstrated problem-solving capabilities and a proactive approach to challenges.

Preferred Qualifications

  • A diploma or bachelor’s degree in Event Management, Hospitality, Marketing, Communications, Cultural Studies, or a related field.
  • Previous experience (internship or paid) in event coordination, hospitality, or administrative support, especially within a cultural, tourism, or museum setting.
  • Familiarity with the cultural heritage sector in Rwanda.
  • Experience with event management software or CRM systems.
