Job Description
Are you a highly organized, enthusiastic, and service-oriented individual looking to gain valuable experience in event management and hospitality? IMBARAGA is seeking a dedicated Event Assistant for a temporary contract to support our various events and gatherings in the Gatsibo District, Eastern Province. This is a dynamic role perfect for someone eager to dive into the practical aspects of event coordination, guest services, and logistical support within a non-profit, community-focused environment. You will play a crucial role in ensuring the smooth execution of workshops, training sessions, farmer forums, and other community engagement activities that are central to our mission. This position requires a proactive individual who can anticipate needs, solve problems efficiently, and maintain a high level of professionalism and guest satisfaction. From setting up event spaces to assisting with participant registration, managing supplies, and ensuring a welcoming atmosphere, your contribution will directly impact the success of our outreach efforts. This temporary contract offers an excellent opportunity to develop hands-on skills in event planning, hospitality management, and stakeholder engagement, while contributing to the vital work of supporting Rwandan farmers and the broader agricultural community.
Key Responsibilities
- Assist in the planning and execution of various events, workshops, and meetings, ensuring they run smoothly and professionally.
- Prepare event venues, including setting up furniture, equipment, and presentation materials according to event specifications.
- Manage participant registration, welcome guests, and provide clear directions and information.
- Coordinate with catering services and manage food and beverage distribution during events, ensuring hygiene and timely service.
- Handle logistical arrangements such as transportation, accommodation (if applicable), and materials distribution.
- Serve as a primary point of contact for attendees, addressing inquiries and resolving minor issues promptly and courteously.
- Support the procurement and management of event supplies and materials.
- Maintain a high standard of cleanliness and organization in event spaces before, during, and after events.
- Assist with post-event activities, including dismantling equipment, cleanup, and inventory of remaining materials.
- Collaborate effectively with the IMBARAGA team and external partners to ensure seamless event delivery.
Required Skills
- Proven organizational and time management skills with an ability to multitask.
- Excellent interpersonal and communication skills (verbal and written).
- Strong customer service orientation and a professional demeanor.
- Ability to work effectively both independently and as part of a team.
- Proficiency in Kinyarwanda and English (oral and written).
- Basic computer literacy (MS Office Suite: Word, Excel, PowerPoint).
Preferred Qualifications
- Diploma or Certificate in Hospitality Management, Event Management, Public Relations, or a related field.
- Prior experience (even voluntary) in event support, hospitality, or customer service roles.
- Familiarity with the agricultural sector or non-profit work in Rwanda.
- Ability to work flexible hours, including some evenings and weekends, as dictated by event schedules.
