Job Description

We are seeking a meticulous and highly organised Document Controller to join our growing team in Glasgow, Scotland. This is a critical role that underpins the efficiency and compliance of our construction and civil engineering projects. As a Document Controller, you will be responsible for managing all project-related documentation, ensuring that information is accurately logged, stored, and distributed to relevant stakeholders in a timely manner. Your daily tasks will involve maintaining comprehensive document management systems, processing incoming and outgoing correspondence, drawings, specifications, and reports, and ensuring all documentation adheres to our stringent quality standards and project requirements. You will play a vital role in supporting our project teams, facilitating smooth communication, and ensuring that all project participants have access to the most current and accurate information. This position requires an individual with exceptional attention to detail, strong organisational skills, and a proactive approach to problem-solving. You will be instrumental in upholding our commitment to quality and efficiency, contributing directly to the successful delivery of complex and demanding projects across Scotland. The successful candidate will have a deep understanding of document control best practices, ideally within a construction or engineering environment, and be proficient in using various document management software and office applications. Key Responsibilities

  • Manage and maintain all project documentation, including drawings, specifications, reports, correspondence, and technical submissions.
  • Ensure all documents are accurately recorded, filed, and archived in accordance with company procedures and project requirements.
  • Control the issue and receipt of documents to internal teams, subcontractors, clients, and external consultants.
  • Implement and maintain robust document management systems (EDMS) to ensure traceability and version control.
  • Conduct regular audits of project documentation to ensure compliance and identify areas for improvement.
  • Provide administrative support to project managers and site teams regarding document control processes.
  • Prepare and issue document control reports and registers as required.
  • Facilitate timely distribution of updated documents and information to relevant project stakeholders.
  • Ensure all project documentation adheres to confidentiality agreements and data protection regulations.
  • Assist with project close-out documentation and handover processes.

Required Skills

  • Proven experience as a Document Controller, preferably within the construction, engineering, or infrastructure sectors.
  • Excellent knowledge of document control principles and best practices.
  • Proficiency in using Electronic Document Management Systems (EDMS) such as Aconex, Asite, Viewpoint For Projects, or similar.
  • High level of proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Exceptional attention to detail and accuracy.
  • Strong organisational and time management skills.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and as part of a team in a fast-paced environment.

Preferred Qualifications

  • Formal qualification in Business Administration, Information Management, or a related field.
  • Experience with ISO 9001 quality management systems.
  • Familiarity with construction project lifecycles and associated documentation requirements.
  • Knowledge of BIM (Building Information Modelling) document protocols.
