Job Description
We are actively seeking a highly organized, meticulous, and experienced Contract Administrator to join our dynamic and expanding team based in Jebel Ali, Dubai. This pivotal role necessitates the comprehensive management of all company contracts, ensuring strict compliance with evolving legal requirements, internal company policies, and precise customer specifications. As a Contract Administrator, you will play an instrumental role in overseeing the entire contract lifecycle, from the initial stages of drafting and providing crucial negotiation support, through to final execution, subsequent renewal, or eventual termination. Your responsibilities will include maintaining meticulously accurate and up-to-date contract records, vigilantly monitoring contractual performance, and facilitating seamless and effective communication between various internal stakeholders and critical external parties. This demanding position requires an exceptionally keen eye for detail, robust analytical capabilities, and the proven ability to work both independently and collaboratively with diverse departments, including Legal, Sales, Operations, and Finance. The ideal candidate will possess a solid foundational understanding of contract law, demonstrate exceptional communication skills, and exhibit a proactive, solution-oriented approach to problem-solving within the inherently fast-paced and challenging logistics industry. Key Responsibilities
- Manage the complete end-to-end contract lifecycle, which includes the meticulous drafting, thorough review, essential negotiation support, accurate execution, and systematic archiving of various types of agreements (e.g., service agreements, vendor contracts, client contracts).
- Ensure that all contracts are in strict compliance with current company policies, all applicable legal requirements, and industry-specific regulations pertinent to the UAE and international logistics operations.
- Serve as the primary point of contact for all contractual queries originating from internal departments as well as external clients or vendors.
- Continuously monitor contract performance, proactively identify any potential issues or deviations, and facilitate their timely resolution in close coordination with relevant operational teams.
- Maintain a comprehensive, accurate, and regularly updated contract management system, ensuring optimal data integrity, accessibility, and retrievability.
- Prepare concise contract summaries, detailed reports, and thorough risk assessments for senior management review and decision-making.
- Assist actively in the development, implementation, and continuous improvement of contract administration procedures and industry best practices.
- Coordinate effectively with external legal counsel for the review and finalization of complex contract terms and conditions.
- Efficiently manage all contract renewals, amendments, extensions, and terminations in a timely and organized manner.
- Conduct thorough due diligence on potential contracts and prospective partners as and when required.
- Support the finance department with all contract-related invoicing processes and ensure strict compliance with payment terms.
- Provide essential training and expert advice to internal teams regarding contract terms, obligations, and procedural guidelines.
Required Skills
- Proven experience of at least 3 years as a Contract Administrator or in a closely similar role, preferably within the demanding logistics, shipping, or supply chain industry.
- A strong and comprehensive understanding of fundamental contract law principles and intricate commercial terms and conditions.
- Excellent organizational and superior time management skills, coupled with the ability to effectively handle multiple complex contracts simultaneously.
- Exceptional attention to detail and unwavering commitment to accuracy.
- Proficiency in utilizing contract management software and expertise in Microsoft Office Suite (Word, Excel, Outlook).
- Strong negotiation capabilities and excellent interpersonal communication skills.
- Ability to communicate with clarity and effectiveness, both in written and verbal forms, in English. Proficiency in Arabic is a distinct advantage.
- A strong analytical mindset combined with excellent problem-solving capabilities.
Preferred Qualifications
- Bachelor’s degree in Business Administration, Law, Logistics, Supply Chain Management, or a closely related field from a recognized institution.
- Possession of a professional certification in Contract Management (e.g., NCMA, IACCM).
- Demonstrable experience working within a Free Zone environment (e.g., Jebel Ali Free Zone).
- In-depth knowledge of international trade regulations and customs procedures.
