Job Description

We are seeking a highly motivated and detail-oriented Clerical Officer to join the administrative team within the Bungoma County Government in Webuye. This vital role supports the smooth and efficient functioning of our departmental operations by managing essential administrative tasks, ensuring proper record-keeping, and facilitating communication. As a Clerical Officer, you will be at the forefront of county service delivery, playing a crucial role in maintaining order and accessibility of critical information, which directly impacts our ability to serve the public effectively.

The ideal candidate will possess excellent organizational skills, a strong work ethic, and the ability to handle confidential information with discretion. You will be responsible for a wide array of duties that contribute to the daily operations of the office, from managing incoming and outgoing correspondence to preparing official documents and assisting with data entry. This position offers a unique opportunity to gain valuable experience in public sector administration, understand the intricacies of local governance, and contribute directly to the development and well-being of the community in Webuye and wider Bungoma County. Key Responsibilities

  • Manage and organize office files, documents, and records, ensuring accuracy and accessibility.
  • Handle incoming and outgoing correspondence, including sorting, distributing, and preparing mail.
  • Draft and type official letters, memos, reports, and other documents as required.
  • Maintain an updated inventory of office supplies and facilitate procurement when necessary.
  • Provide front office support, including answering phones, greeting visitors, and directing inquiries.
  • Assist in the preparation and coordination of meetings, workshops, and official events.
  • Perform data entry tasks, updating databases and spreadsheets with relevant information.
  • Ensure the confidentiality and security of sensitive information and documents.
  • Operate and maintain office equipment such as photocopiers, printers, and scanners.
  • Support senior administrative staff with various ad-hoc tasks and projects.

Required Skills

  • Kenya Certificate of Secondary Education (KCSE) mean grade C- (Minus) or equivalent.
  • Proficiency in computer applications, especially Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent written and verbal communication skills in English and Kiswahili.
  • Strong organizational and time management abilities.
  • Ability to work accurately with attention to detail.
  • High level of integrity and discretion in handling confidential information.
  • Basic knowledge of office procedures and clerical duties.

Preferred Qualifications

  • A Diploma or Certificate in Business Administration, Office Management, Public Relations, or a related field from a recognized institution.
  • Prior experience in an administrative or clerical role, preferably within a public sector or fast-paced office environment.
  • Knowledge of government regulations and protocols.
  • Ability to work effectively under pressure and meet deadlines.
