Key Responsibilities

  • Manage and direct incoming calls and correspondence, including emails and physical mail, ensuring prompt and professional responses.
  • Maintain and organize physical and electronic filing systems, ensuring documents are easily retrievable and securely stored.
  • Prepare and edit documents, presentations, and reports as requested by management and other team members.
  • Schedule and coordinate meetings, appointments, and travel arrangements for staff members.
  • Assist with office supply management, inventory control, and procurement processes to ensure adequate stock levels.
  • Welcome and assist visitors, maintaining a professional and friendly demeanor at the reception.
  • Support various departments with clerical tasks, data entry, and project-based assignments as needed.
  • Ensure the office environment is tidy, organized, and conducive to productivity and professionalism.
  • Handle sensitive information and confidential documents with the utmost discretion and integrity.
  • Operate and maintain office equipment such as printers, scanners, and photocopiers, troubleshooting minor issues when necessary.

Required Skills

  • Excellent verbal and written communication skills in English and Swahili.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and time management abilities.
  • High level of attention to detail and accuracy.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
