Job Description

We are seeking a highly organised, proactive, and detail-oriented Administrative Assistant to join our dynamic team in a hybrid work model. This pivotal role will be based primarily at our Storms River office, with flexibility for remote work as per company policy, ensuring a balance between collaborative on-site presence and focused individual work. The Administrative Assistant will be instrumental in ensuring the smooth and efficient operation of our administrative functions, providing comprehensive support to various departments including sales, production, and finance. You will act as the first point of contact for many internal and external stakeholders, contributing significantly to our professional image and operational effectiveness. Your daily tasks will involve expertly managing executive and departmental schedules, preparing and formatting critical documents, coordinating internal and external meetings, handling all incoming and outgoing correspondence with precision, and maintaining meticulous records, both digital and physical. Key Responsibilities

  • Manage and maintain executive calendars, scheduling appointments and coordinating meetings.
  • Prepare and edit correspondence, reports, presentations, and other documents with high accuracy.
  • Organise and maintain physical and electronic filing systems, ensuring data integrity, confidentiality, and accessibility.
  • Act as the primary point of contact for internal and external communications, including phone calls, emails, and greeting visitors.
  • Coordinate travel arrangements and accommodation for staff as required, ensuring cost-effectiveness and efficiency.
  • Assist with office supplies inventory management, procurement, and distribution.
  • Process invoices, expense reports, and other financial documentation in coordination with the finance department.
  • Support HR functions, including maintaining employee records, assisting with onboarding processes, and coordinating training.
  • Assist in organising company events, workshops, and team-building activities.
  • Perform general administrative duties such as data entry, photocopying, scanning, and managing incoming/outgoing mail.
  • Ensure the office environment is tidy, organised, and professional at all times.

Required Skills

  • Proven experience (minimum 2 years) as an Administrative Assistant or in a similar administrative role.
  • Exceptional proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office software.
  • Strong organisational and time management skills with the ability to prioritise tasks effectively in a fast-paced environment.
  • Excellent written and verbal communication skills in English (proficiency in Afrikaans is a strong advantage).
  • High level of attention to detail and accuracy in all aspects of work.
  • Ability to work independently with minimal supervision and collaboratively as part of a team in a hybrid setup.
  • Proactive attitude with strong problem-solving and critical thinking capabilities.
  • Demonstrated discretion and ability to handle confidential and sensitive information with integrity.
  • Strong interpersonal skills to interact professionally with diverse stakeholders.

Preferred Qualifications

  • A relevant secretarial diploma, business administration certificate, or equivalent qualification.
  • Experience with basic accounting software (e.g., Pastel, QuickBooks).
  • Knowledge of office management systems and procedures.
  • Previous experience in the manufacturing or timber industry.
