Key Responsibilities

  • Provide comprehensive administrative support to assigned departments and managers.
  • Manage and maintain calendars, including scheduling appointments, meetings, and conferences.
  • Arrange and coordinate local and international travel, accommodation, and itineraries.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Handle incoming and outgoing communications, including emails, calls, and mail.
  • Maintain an organized filing system, both physical and digital.
  • Manage office supplies inventory, placing orders when necessary and ensuring availability.
  • Assist in the preparation of reports, financial statements, and presentations.
  • Coordinate office events, team meetings, and corporate functions.
  • Process invoices, expense reports, and other financial documents with accuracy.
  • Act as a liaison between staff, clients, and external contacts.
  • Ensure the efficient operation of office equipment and facilities.

Required Skills

  • Proven experience as an Admin Assistant, Executive Assistant, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills in Portuguese.
  • Strong organizational and planning skills with a keen attention to detail.
  • Ability to prioritize tasks and work under pressure to meet deadlines.
  • Discretion and trustworthiness when handling confidential information.
  • Proactive attitude and ability to work independently as well as part of a team.

Preferred Qualifications

  • A diploma or degree in Business Administration or a related field.
  • Fluency in English (verbal and written).
  • Experience working in the banking or financial services industry.
  • Familiarity with office management systems and procedures (e.g., SAP, Oracle HR).
